Scope? • Capability Description? • Capability Statement? • Scope of Certification? • doesn’t really matter what it’s called, most people refer to it as “Scope of Certification” but more correctly it is “Capability Description”. TQCSI Auditor Training

Scope Usage Scope is used for: • describing the activities for which the client is certified • determining all applicable F Codes & NACE Codes • allocating qualified auditors for codes identified • providing indication of no. of HACCP studies • calculating audit duration requirements. If we don’t get it right? It matters: • infer client certification covers an activity not audited – misinform client’s customers • unqualified auditors conducting audit as not approved for correct F Codes • audit duration not enough as extra HACCP Study or duration due to risk • could result in requiring another audit to cover activity missed • not meeting certification body requirements • TQCSI nonconformity. Scope – getting it right! How do we do this? • RO ensures they get accurate and full details from the client using the TQCSI documentation provided from visit or interview with client • TQCSI auditors verify during the audit. . TQCSI Auditor Training
Contract Review Information derived from: • Enquiry Form (TQCSIF-08) • Application Form (TQCSIF-12) • previous certificate (for transfers) • visit/interview. TQCSI Auditor Training
Scope Details needed to build the scope: • list of all activities conducted eg growing, processing, packing, storage, & transport • list of all processes conducted eg cleaning, peeling, slicing, roasting, cooking, cooling, freezing, pasteurizing, canning • list of services types eg water supply, pest control. Scope Details needed to build the scope: • product raw material types at beginning of process • finished product types at end of process • provide a list of process steps from start to finish. TQCSI Auditor Training
Scope Details needed to build the scope: • raw material and finished product types should be specific to be able to link directly to F Code • provide all this detail under ‘Products and Services’ or ‘Technologies Used’. TQCSI Auditor Training
Contract Review • obtaining these details gives confidence to the RO that the proposed scope is correct • GM is responsible for ensuring it has been worded correctly with sufficient details and coded • information for CAP to confirm the scope is accurate, covers all products types, service types, activities and processes • result in less rejected contract reviews. Approval at Contract Review • scope approval by CAP when satisfied it fully describes activities/ processes/ products types/service types • list of all products/services in the scope are not required - instead list product and service types (eg flavoured dairy beverages, not coffee milk, chocolate milk or strawberry milk). Approval at Contract Review • list of products and services can be included under ‘Products and Services’ in Nuts (eg chocolate milk, strawberry milk) • scope can be changed by CAP • FSMS scopes require more detail than scopes from other programs. TQCSI Auditor Training
Confirmation at Audits Audit Team Leader to verify scope is correct: • Stage 1 Audit (when confirming Codes) • again at Stage 2 Audit • Triennial Audit • at all surveillance audits, check if there have been any changes. TQCSI Auditor Training
Confirmation Audit Team Leader: • use WI 90 reference to F Codes • use WI 87 & reference to NACE code descriptions • ensure all codes are accurately allocated • correct allocation impacts on risk designated to the client • if unsure of codes, contact HO for guidance. TQCSI Auditor Training
Scope • separate allocation for FSMS scope in Nuts for a site certified to another program which conduct activities outside the scope of FSMS • must identify significant differences in scope between sites (eg factory and branches wholesaling) • ensure any outsourced activities are not included in the scope of FSMS • must reflect F/NACE Codes. Scope - what it isn’t • marketing medium • vague statement which could imply activities are included when they are not (eg farming) • client’s decision! TQCSI Auditor Training
Products & Services Nuts contains fields for: • products & services • technologies used • included on Client Details Report and in TQCSI Trading (Quality. Trade) • clients can amend Quality. Trade so auditors must check it. TQCSI Auditor Training
Schedule • Schedule of Registration on website • automatic if more than three sites • can also be selected by RO if client requests • lists addresses, scope of certification, products/services and technologies used • can be printed to accompany certificate (tenders, etc). TQCSI Auditor Training
Wording • The registration covers the…………. • processing of product types……… • production of product types… • careful when using ‘production’ to provide detail when farming or growing of product/animals is not in scope as this can infer it is. TQCSI Auditor Training
Examples • The production of eggs…. • The production of fish…. • The production of chicken… • The production of milk. . all infer Farming of animal codes (F 1) • there is no extra information to specify otherwise. TQCSI Auditor Training
Examples • the processing of eggs… • the processing of fish… • indicate F 3 Processing of Perishable Animal Products applies, however • it provides no information to the extent of the processing or technologies used (eg are the eggs fully processed for sale or sent to another supplier to finish cleaning and inspecting? ). Examples • from the scope a customer could assume the eggs are fully processed for sale, when they may not be under this certified scope • provides no information as to what the finished products are or what form they are in (eg fresh, frozen). TQCSI Auditor Training
Examples • with more specific words, the scope of certification can be clearer (eg the receival, cleaning, processing and transport of eggs for retail sale and the production of egg pulp). TQCSI Auditor Training
Examples • with more specific words the scope of certification can be clearer: (eg the receival of fish, cleaning and production of frozen fish fillets) • the scope must clearly indicate the client’s activities with no question as to their activities. TQCSI Auditor Training
Common Failure Examples • using terminology that cannot be linked to a specific F Code (eg production of health food) • health food - could be linked to variety of F Codes under definition of health food • no idea of the start and end of process, eg raw material type, what is processing or what is the finished product type or form (dry, beverage, capsules, dried seeds) • this is not specific enough, examples like this will be rejected until they are identified to an F Code. Common Failure Examples • not including transport within the scope when the client performs own transport of product • allocating an F Code for an activity but not including it in the scope (eg transport, retail sale, storage) • if the client does it, include it in the scope and allocate the F Code. Audit Report • Capability Description is only required for Stage 1, Stage 2 & Triennial Audits • or if a change is required. TQCSI Auditor Training
