Student Exchange & Study Abroad Departure Information Session April 1 st , 2015 2: 00 -3: 00 pm in FDA 5 Presented by: Christin Blohm-Pape, Student Advisor Melissa Kinney, Administrative and Student Affairs Coordinator
Before you Leave • Host institution application – must get their final approval (March to July) • Coded as “Exchange Term Away” • Service Point is holding Exchange drop-in hours every day from 230 -4 pm (5 pm on Weds) if you have questions about when you will receive host application, instructions on how to apply, mobility award etc. please visit this service. Alternatively, you can always email Service Point at studentexchanges@mcgill. ca • Pay your Mc. Gill tuition (equivalent of 15 credits) and related fees for term away by the usual deadlines for Mc. Gill students. • Review the travel reports and warnings on Canada's Foreign Affairs and International Trade website for all countries you will be visiting (http: //travel. gc. ca/travelling/advisories). • Update your mailing address. (All correspondence from Mc. Gill will be sent to the mailing address you indicate on Minerva. ) • Check that your emergency contact information is up to date.
Health Insurance • Review your health insurance plan to see what expenses are covered while you are away. It is very important that you inform your insurance provider that you will be traveling. o Undergraduate Health Insurance Plan: http: //www. ihaveaplan. ca/ o International & Canadian Students (Mc. Gill Administered Plan): http: //www. mcgill. ca/internationalstudents/health/ • Arrange for supplemental health insurance for expenses not eligible under your plan (if necessary). • Go for a FULL checkup before leaving (Physical, Dental, Eye). • Update your immunizations • Book an appointment with the Travel Nurse (514 -398 -6017) at Mc. Gill Student Health Services at least six weeks before you leave.
Travel Arrangements • Make and confirm your travel arrangements. • Check the visa requirements for the country you will be entering and apply for any visas necessary. • Ensure that you have a valid passport (NEW: your passport must be valid for a minimum of 6 months after your return) • Make copies of all your important documents (Visa, Social Insurance, Passport, important contacts, etc). • Complete your Travel Registry form on Minerva (under the Student Records tab). You will receive an email when the form is ready for you to complete.
Managing your Money • • Set up a realistic budget Decide how you are going to handle your money overseas (ATM, Credit Card, Travel checks) Apply for Travel Awards & Bursaries (Mobility Award) Students are eligible to retain their scholarships while on Exchange Educate Yourself • Buy a good travel book • Learn about the country and geographic area where you are going • Read student experience reports (at FDA 22) Last Minute Things • Make arrangements to have your Mc. Gill email forwarded • Ensure that your cell phone is functional
Student Rights and Responsibilities • Students are subjected to the terms and conditions of the conduct regulations at the Host University. • Ensure that you secure a copy of these regulations. Choosing your courses • Review the course equivalency database (http: //www. mcgill. ca/courseequivalency) /hard copy (at MESC) is more detailed to get a sense of previously approved courses • MESC website: http: //www. mcgill. ca/engineering/current-students/undergraduate/exchangesstudy-away/outgoing
Course Approval Forms Due 3 months prior to when you depart • Outgoing Exchange Course Approval Form – Green Form • Complete the form, attach all supporting documents (including: course descriptions, the number of contact hours and Accreditation Unit (AU) calculation and bring to your Department/School for advisor evaluation and approval. • AU = [# lecture hours × # semester weeks]+ [((# lab + tutorial hours) ÷ 2 ) × # semester weeks] • Courses used to satisfy a minor or required courses must be approved by the Mc. Gill Instructor and mapped on to an existing Mc. Gill course. Complementary courses (General Complimentary A and B and Technical Complimentary) do not require mapping and will be granted generic course credit (e. g. CHEE 3 XX). • Communicate with your Departmental Advisor and your Student Affairs Office if any changes are made to your Transfer Credit Form. • AU shortfall: An additional course may be needed to make up for the AU shortfall • Accreditation requirements: CEAB requires all students to take a certain number of AUs related to Engineering content here at Mc. Gill we will let you know if an additional course is required to satisfy the accreditation requirements

Transfer Credit • It is possible that some courses that have been pre-approved by your Mc. Gill advisors are not offered, so be sure to have additional courses pre-approved prior to your departure. • If you require assistance in selecting alternate courses, send detailed course outlines to Melissa Kinney (Exchange. Engineering@mcgill. ca) in the Engineering Student Centre. • The course content will be reviewed and approval will be communicated to you as quickly as possible. • You will be eligible to transfer credits back to Mc. Gill if the grade earned in the course at the host university is equal to or higher than the grade/CGPA required to graduate from the host university. This policy applies to both elective and required course credits.
Graduation • If your degree requirements will be completed during the Exchange Term Away please ensure that you apply for graduation via MINERVA prior to departure. • If you are a non-graduating student, you are expected to return to Mc. Gill after your exchange. You should register normally through Minerva for the following academic year. Prior to your Return to Mc. Gill • Check your Mc. Gill email regularly for important updates • Register for your upcoming courses • Secure detailed course outlines for all courses completed
On Your Return to Mc. Gill • Once we receive a copy of your official transcript and your completed Experience Report, we will process your transfer credits on Minerva (we will be sending you a template of questions to answer while you are away). • If you notice any issues with the transfer credits appearing on your unofficial Mc. Gill transcript please contact Melissa Kinney, Engineering Student Centre. • You must submit your Experience Report to MESC (Mc. Gill Engineering Student Centre). Your report will help students in the Faculty of Engineering who may wish to go on exchange in the future.
Remember! • You are a Mc. Gill Ambassador while you are on Exchange, and therefore you are expected to conduct yourself accordingly. • On your arrival at your Host University please contact Melissa Kinney (exchange. engineering@mcgill. ca) to inform her of your living arrangements, address and telephone number. • To ensure that we continue to attract Exchange students to Mc. Gill, we encourage you to organize a presentation on Studying at Mc. Gill (Faculty of Engineering). Key points • Wait to receive official approval from your host university. • Ensure all contact details including emergency contact details are updated. Complete the Travel Registry form on Minerva. • Organise all travel arrangements: check visa, passport, health insurance and any necessary immunisations. • Plan your courses! Meet with your Departmental Advisor to get approval. Hand in the form with the Department’s signature to MESC for Faculty approval. • Once courses have been approved we will send the approved hard copy form to you by email. • When returning to Mc.
