Delivery of paper copies to DG TREN the 16 th April 2008 (electronically : 11/04/08) Amendment n° 2 of the contract (Annex I) (Hespul) Usual procedure (Amendment following next 18 months report (months 25 -42)) Extraordinary procedure following UB departure (transfer of budget from UB to ECODES (Amendment full budget) + Review, monitoring of budget changes, exchanges with DG TREN services (around 1 month process !) Reporting “dysfunctioning” and corrective solutions ? RENAISSANCE - LYON FRANCE From partners : Real delays in 3 documents to be sent (mid January, instead of begin of early November) xls document (with overview of annual budget- not always accurate-updated) Activity description not fully done (in the xls document) From local coordinators & WP leaders: Not really checking « adequacy » between xls doc and Form C/ Audit certificate - some changes here and there Delay to deliver the annual progress Reports ( + missing information, especially on major costs justification). From European coordinator : Lack of experience (learning by doing approach) Missing adequate tools to report (to be redone and/or checked) How to improve that process for Year 3 ?
