Membership Development Web Cast Slide 8 Background This is a follow up to my presentation on May 30, 2009 on MGA & TAB Working Together to Grow IEEE and Society Membership A mail was sent to society presidents and their MD chairs requesting them to share one or two ideas that helped in recruitment and retention Response was overwhelming but was not focused on this specific topic About 15 ideas from societies on what helped them About 70 general comments on how to improve membership value, member engagement, operations, and recruitment There were hundreds of other mails which started burying the “signal” in all the “noise” - Mail Lists have been shutdown and an Yahoo group has been established at: http: //finance. groups. yahoo. com/group/ieee_growth/ Following slides summarize these suggestions. Web Cast Etiquette: Ask questions using the online chat feature. Technical assistance: web-conf@ieee. org
Membership Development Web Cast Slide 9 Societies – What Worked for Them Half year free for new members (digital) Society specific Linked. In groups – access only for members Must match local competition from international professional societies such as IET, ACM, etc. Networking events just for GOLD to better engage and build camaraderie Closing societies will result in losing those IEEE members Special student networking to improve engagement Sections support chapters activities Collaboration with other nonprofits within society’s area Free access to digital editions of society pubs Single themed workshops to reach broad audience International conferences in R 8 -10 Tailored newsletters – news and information, careers and jobs, DL update, etc. Member to member emails during renewal TY gift (personalize notepad) Revitalize chapters – MVP program One year free memberships to conference attendees Web Cast Etiquette: Ask questions using the online chat feature. Technical assistance: web-conf@ieee. org
Membership Development Web Cast Slide 10 Increase the Value of Membership Practitioner products – webinars, tutorials, certification Frequent – at least monthly – section meetings Limited IEEE Xplore® access, web tutorial, IEEE Expert Now courses Section/chapter sponsored educational activities for practitioners Distinguished Lecturers Tour are very valuable but there are recent cuts Colleges get point in accreditation for having a branch Student mentoring online or blog IEEE sponsored industry visits IEEE Xplore® access from a single location for chapters – will increase membership in several countries Help members who have lost their jobs by retraining Career fairs Web Cast Etiquette: Ask questions using the online chat feature. Technical assistance: web-conf@ieee. org
Membership Development Web Cast Slide 11 Increase Member Engagement and Relationships Member bring a member to meeting – free lunch Companies should be encouraged to support volunteering Company paid Lunch time meetings (not night time) Engage students as “interns” in section/chapter Ex. Coms Member Visitor Program (Senior Members and Fellows giving talks while they are on their own travel) Regularly scheduled monthly meetings IEEE should become members technical and professional home Establish on line discussion forums in technical topics Section recognizes by awards local industry for its policies and its technical leadership Work with local government to support IEEE activities Joint meetings with neighboring sections/chapters to increase frequency Web Cast Etiquette: Ask questions using the online chat feature. Technical assistance: web-conf@ieee. org
Membership Development Web Cast Slide 12 Increase Operational Efficiency & Effectiveness Implement Section Congress recommendations Improve support for conferences to attract members IEEE to provide administrative support for section/chapters in return for a % of retained earnings Need more volunteer training Discount for opting out of print, conference discounts, etc. New tools (web-in-a-box, v. Tools, netnote) are helpful but we need a better system for interaction with MGA (L 31 is a nightmare) Discount for volunteers Low-income discount to society dues More branches, links, hubs (drivers), etc. to manage large sections/student branches Some Sections are too large and geographically cover large space Conference calling and web meeting facilities to sections and chapters Web Cast Etiquette: Ask questions using the online chat feature. Technical assistance: web-conf@ieee. org
Membership Development Web Cast Slide 13 Increase Membership Key dues to local purchasing power - Dues as much as 20% of salary in parts Limited IEEE Xplore® access Simplified fee structure Charge fee for meetings/tutorials to nonmembers (if free then there is no reason to join) Bundle society membership Need elevator speech for membership Include membership enrollment in conference registration forms One year trial membership in a society for new members August to December trial membership in a society for all members Section rebate is used subsidize student dues Multi-year student dues Company bulk scholarships towards student dues Company affiliate program Web Cast Etiquette: Ask questions using the online chat feature. Technical assistance: web-conf@ieee. org
Membership Development Web Cast Slide 14 Update from MGA-TAB Committee Student chapter development initiative. The goal is to increase student chapters where IEEE is underrepresented, especially in Computer Science and IT, but in any new technical area on campuses outside of traditional EE/CSE departments or schools where IEEE should be but does not have a presence. This work presents opportunities for any society growing in a new technical area to establish new branches. Expanded Xtreme programming marketing and communications aligned with the student chapter development initiative and 2010 Student Offer. Although Xtreme registration is now closed with 1000+ teams (a record!) registered, the webcast participants should be encouraged to follow the contest through 24 October and continue to call it out to attract students. There will be more students contests to follow. 2010 Student Offer. As part of the goal to increase IEEE branches and attract more students from areas where IEEE is underserved, our work has expanded the outreach to the computer science/IT area through the Special Student Offer for 2010: a bundled student membership for $40 which includes IEEE + IEEECS student membership and access to the Computer Society Digital Library. Perhaps other societies would want to consider similar packages together with MGA in the future? Web Cast Etiquette: Ask questions using the online chat feature. Technical assistance: web-conf@ieee. org
Membership Development Web Cast Slide 15 Update from MGA-TAB Committee Monthly “Society Focus” section in the Member Benefits Bulletin. Each section features the Societies logo, brief description and a “Find out more” and “Join Today” link. – On average 69, 000 members see this every month. – To date, “Find out more” links received 266 unique clicks and “Join Today!” received 162 unique clicks. Web Cast Etiquette: Ask questions using the online chat feature. Technical assistance: web-conf@ieee. org
Membership Development Web Cast Slide 16 Presidents’ Change the World Competition Goal: The competition’s goal is to recognize and reward individual students or teams of students who identify a real-world problem and apply engineering, science, computing and leadership skills to solve it. The contest offers students the perfect opportunity to have their ingenuity and enthusiasm for engineering and technology recognized by prestigious IEEE members around the globe. We will work to incorporate this competition into Society messaging (conferences, web site, newsletter, etc. ) to encourage student society members to participate and encourage new student growth. Flyers, Posters, Web Banners will be available the week of 19 October www. ieee. org/changetheworld Web Cast Etiquette: Ask questions using the online chat feature. Membership Development Web Cast Slide 34 MGM 2009 – Key Takeaways The data shows a decrease in the number of members recruited under MGM, year-over-year, but an increase in the number of participating recruiters: – Year-over-year HG recruitment trends overall are in decline and so the 2009 MGM results are probably more an indication of the economic climate than the structure of the program. – More members are recruiting but recruiting fewer members. § Interestingly, HG MGM recruitment increased dramatically. – Increased awareness of the program (vis-à-vis the ack pack cards), especially among higher grade members. Membership Development Web Cast Slide 104 Some Statistics The amount of emails sent was exactly 15, 131. This included all membership in R 8 except students, graduate students and affiliates To date we have received 4, 030 replies, and we are still receiving them daily. About these replies: 786 were undeliverable messages. (mostly due to wrong or no longer available email addresses). We believe this is quite a large number which deserves some attention to see how we can mend it Ø 2, 791 messages which were indications that the email sent was read by the recipient (this is an indication by the email system that the recipient actually opened the email, some email systems do not send such replies, so it does not mean the others did not open the email) Ø 435 queries with problems, thank you notes, I renewed now etc messages Ø We replied directly to around 400 emails Ø Web Cast Etiquette: Ask questions using the online chat feature. Technical assistance: web-conf@ieee. org
Membership Development Web Cast Slide 105 Results Many members renewed after receiving our letter We could validate the letter’s impact by daily queries in SAMIEEE The number of Pre-Arrears (un-renewed members) was decreasing faster than usually. We had a significant advance in higher grade retention in February We learned a lot, we informed and helped members, etc. Web Cast Etiquette: Ask questions using the online chat feature. Membership Development Web Cast Slide 106 Reply Strategy This was formulated after receiving initial replies and based on the trends The amount of replies asking for help and assistance was very large We had to answer otherwise we lose credibility Sample ready-made replies were formulated to help deal with this problem Many problems were directly forwarded to IEEE HQ for sorting This really took quite a bit of time/effort Web Cast Etiquette: Ask questions using the online chat feature.
