Help Is On The Way: Computer-based Training (CBT) for Non-registry Hospitals Brenda L. Lee, CTR Missouri Cancer Registry University of Missouri-Columbia This project was supported in part by a cooperative agreement between the Centers for Disease Control and Prevention (CDC) and the Missouri Department of Health and Senior Services (DHSS) (#U 55/CCU 721904 -05) and a Surveillance Contract between DHSS and the University of Missouri.
Acknowledgements § Nancy Cole, BS, CTR, Assistant Project Manager, MCR § Sue Vest, BS, CTR, Project Manager, MCR § Jeannette Jackson-Thompson, MSPH, Ph. D, Operations Director, MCR and Associate Research Professor, Health Management & Informatics § Patricia Alafaireet, MHA HMI Faculty
Background § Circuit-riding/Low-volume facilities (less than 75 cancer cases diagnosed per year) § Copy pertinent records for Missouri Cancer Registry (MCR) § Submit records quarterly
Challenges § Persistent turnover of hospital employees assigned to cancer reporting § Time management of hospital staff (other medical records duties)
Training Issues § During case-finding audits determined “circuit-riding/low volume” facilities are underreporting § Underreporting may be due to current training not meeting reporters’ training needs
Thinking Outside the Box § Time constraints of MCR Staff § What kind of training currently available § Interest of Circuit-riding/low volume facilities § Ease of use § Accessibility § Cost
Solution: Computer-based Training § Adapt training -permit delivery through web access. § This CBT module is expected to -lower MCR training costs -increase registry efficiency -and, by extension, increase reporting of cancer cases to MCR
Survey § Surveys sent to Circuit-riding facilities to assess need and interest in training and § to assess potential for a CBT module
Survey Questions
Results of Survey § 50% response rate § Results were positive for computer-based training § Staff would have time and computer accessibility for a 45 -60 minute training session § Liked the idea of a certificate of completion § Liked that the training module could be accessed any time from almost any computer
Plan of Action § CDC/NPCR unobligated funds § Faculty member at UMC Health Informatics worked with MCR staff to develop a CBT module that included a post-test § Based on basic cancer registry training case-finding module § Alpha testing in-house and at 3 sites § Accessible through MCR’s website
Technical Aspects § UMC’s Department of Health Management and Informatics’ (HMI) Dcompl. X (Dx) (web-based information portal) § Secure access to training materials provided on the Dx site
Continued… § The secure logon permits tracking of end users’ utilization for evaluation of the CBT § It also permits tracking of the training materials in order to generate a Certificate of Completion
Continued… § This project is designed to meet current MCR training needs and provide a template and system by which future needs can be rapidly met
Continued… Will include § CBT to view § CBT to download and print for future reference § Test with certificate of completion § FAQ about topic § Links to manuals, etc. § List of completed modules (user history)
Web Site Dx: Dcomplex
Evaluations filled out § Excellent evaluations returned to Missouri Cancer Registry
Lessons learned § With just a little willingness to change and to think outside the box, we can work smarter not harder
More lessons learned MCR has completed other modules: § Missouri Cancer Registry (Information about MCR) § Web Plus Web-based training (for nonhospital reporters) And is preparing other modules: § Melanoma reporting (for physician offices) § Cancer reporting for long-term care facilities
