Your Club Accounts Club Budget Account For any grants you receive from the Students’ Union or external bodies. Club Private Account For all other income from sponsorships, funding, fundraising, membership money, events, etc. Tour Account To set one up contact Jill at jill. lowe@stir. ac. uk
How do I access club funds? ? ? £ 50 or under – you can either ask us to order the item(s) for you, or you can spend the money and claim it back. Over £ 50 – the Union must order/buy the item(s) or services on your behalf. Submit a Purchase order Form and we’ll deal with this asap
How to Claim Money – Under £ 50 Fill in details of claim (reason for expense, amount, etc. ) Club Treasurer or President must sign. Attach an itemised Receipt (No receipt, no claim!) Submit form at the Union office before 4 pm
How to Claim Money – Under £ 50 A few tips… We can give you cash or issue a Cheque/Bank transfer – cheques can be posted or collected. You have 60 days from the date on the receipt to claim your money back. It is not possible to claim expenses for alcoholic drinks.
Purchase Order Request Form Purchase Order Request form is required for all expenses over £ 50. One PO Request form per supplier. Only Treasurer/President can submit PO Request forms.
Purchase Order Request Form Club Account must have sufficient funds for PO Request to be processed. Any orders for personal use must be paid for by individuals (e. g. hoodies). Submit to theunion@stir. ac. uk or jill. lowe@stir. ac. uk

Union Grants Application Find Funding Application Forms on the Union website (hard copy in your folder) No Deadline for Application except budget allocation – panel will meet every month during semester. Email to and submit a hard copy to Sports Union President –sports. union@stir. ac. uk
Available Funding External Funding National Lottery Fund SVE (Stirlingshire Voluntary Enterprise) – Free advice & Funderfinder! Global Companies – Mars Refuel, Kellogg’s, etc. University of Stirling Alumni Fund- applications deadline late October. Sponsorship from local businesses (taxi companies, clubs, pubs, equipment suppliers, etc. )
Sponsorships Decide what you are after - Cash, equipment, stock, discounts, access to facilities/services, etc. What can you offer in return? – Advertising, big membership, club reputation/exposure, access to student market, customers, etc. Write a proposal – include your objectives and what you can offer. Consult us for advice!
Sponsorships Mind what you sign or agree to. . . Contracts can be tricky - show us first, we’re here to help! If successful, please let us know! We’d love to hear of some success stories – it can help other clubs in the long-run! Fulfill Your Promises – Keep your word with your sponsors and keep in touch. They need to see what they are getting for their money!
Fundraising First of all set your Target: What are you fundraising for? How much do you need to fundraise? When do you need to fundraise by? What resources (skills, venue, ideas, people) do you have/need ?
Fundraising Ideas 1. Events & Activities Toastie Nights & Bake Sales (Chaplaincy) Bag Packing Raffles, Pub quiz, Ceilidh Nights, Race Nights, etc. Tournaments and Events (Swimming Stirling Sprints, Fencing Stirling Sword, Waterpolo March Madness, etc. )
Fundraising Ideas 2. Sponsored Events and Challenges– Beat the goalie, sponsored row, Fenceathon, Danceathon, etc. Please mind Regulations and Legalities! (Consult us on regulations and need for licenses)
Finally…food for thought Think of Cash Flow levels – look at overall income vs. expenditure, but also at when money comes in/out. Legacy - Are you leaving the club with more money than you found? How are you using your funds for the benefit of members? What say do members have on how club funds are used?
