① An inquiry received from abroad must be answered completely and promptly. ② If there is no stock available for the time being, you(reader) should acknowledge the inquiry at once, explaining the situation and assuring that you will revert to it once supply becomes available. ③ If the inquiry is from an old customer, say you are glad to receive it and express the hope of a lasting friendly business relationship.
Tell where you’ve learned the company & its products. Describe your specific needs but with no promise. Writing Principles Stress the importance of your needed information and try to get more information. If there any inquiries, ask the reader with courtesy to give you a definite reply. If the reader is an unfamiliar one, try to personalize your letter like the one between friends.
(4)In order to invite better terms, you should give the seller some hope of substantial orders or continued business by saying: “Should your prices be competitive, we shall place an order…” or “If your quotation is favorable, we’ll place regular orders with you. ”
2. Reply an enquiry (1)Express thanks to the inquirer for his interest in your products. (2)Answer the questions asked and provide other relevant and necessary information. (3)State briefly advantages of your products.
(4)If you are unable to supply the products required, give a reason or explanation in addition to expressing regret. Always end/close your letter positively by offering other products as substitutes so as to create a good impression.
